Where NewSeas was stuck
NewSeas is a Shopify SEO agency working with 7-9 figure brands. Kai had been trying to scale operations using Notion, ClickUp, Asana, Linear, and Jira — all of which were "okay or good, but never great." As the team grew and client count doubled, issues compounded. The team was running daily 5x/week standups just to keep things aligned, and Kai couldn't take time off without worrying about what was slipping through the cracks.
What we built
We built the content and link-building operations in Airtable, with clear workflows, ownership, and handoffs baked directly into the system. Kai's team got a single source of truth instead of fragmented tools. We worked with him previously on a zapier-based onboarding automation, and this time took everything to the next level — restructuring how campaigns, content, and link building all flow through the agency.
What happened next
NewSeas revenue grew from ~$25K/month to "double, nearly triple" in the year. Daily standups dropped from 5x/week to 2x/week because team members always know what's next. The content team (including team members with Master Class experience) called it the best project management system they'd ever used. Kai was able to take actual vacation days — confident nothing would fall apart while he was gone. The systems are now set up to scale NewSeas well beyond its current size.
