Where ProCreativ Solutions was stuck
Manny and his partner Juan had built ProCreativ into a design agency doing real revenue — and then plateaued. The bottleneck wasn't leads; it was operations. They'd cycled from ClickUp to Notion and neither held up once they were running multiple high-volume clients in parallel. Notion was a great doc editor and a terrible project manager: nested pages, buried comments, missed revisions. Small details — the kind that matter in design — started slipping through the cracks. Catchable before the client noticed, but only because they were watching for it. They knew the current setup wouldn't survive another growth step.
What we built
We started with the company brain to map what ProCreativ actually does, then rebuilt their PM layer in Airtable — structured around how a design agency works, not around a generic template. Steven led the build, and one thing Manny calls out specifically: we told them no when they asked for features they didn't need. No feature-brain, no padding the scope. Every discovery question pushed toward what the business actually required. The onboarding experience itself was distinctive enough that ProCreativ borrowed pieces of it to improve their own client onboarding.
What happened next
ProCreativ now runs on a single system built around their real process — not around someone else's idea of what a creative agency should look like. The plateau broke. Visibility across clients, projects, and revisions is immediate. They stopped missing small details, stopped rebuilding their PM stack every six months, and upgraded their own client onboarding by modeling ours. The team adapted through the usual growing pains of a new system, but on the other side, Manny describes it as the structure their freelancer-minded agency had been missing.
