Where Staxx Fractional CFO was stuck
Staxx was the result of two separate accounting firms merging — Alex's Staxx and his partner Dylan's practice. They had complex deliverables across sales tax, CFO advisory, tax planning, bookkeeping, and financial software integration. Neither partner had mapped their processes, there was no central project management, and onboarding a new client meant manually setting up invoices, contracts, Slack channels, and tracking spreadsheets. It was chaos on the verge of breaking.
What we built
We built a complete operating system for the merged firm: a custom CRM for Dylan's sales pipeline, automated client onboarding that triggers from a single form (Slack invite, contract, invoice, welcome video, kickoff checklist — all in seconds), recurring cadence management for client deliverables, Slack-to-Airtable ad-hoc task creation via emoji reactions, and automated reminders for every touchpoint. Every process was mapped, systematized, and integrated.
What happened next
Staxx scaled from 15 to 35 clients managed — more than doubling capacity. Onboarding a new client went from 30+ minutes of manual setup to 30 seconds via a single form. Alex reclaimed 20-30 hours per week that he was previously spending on operational work, freeing him and Dylan to focus on growth and high-value advisory work. The firm is now positioned to scale further without proportional increases in operational overhead.
